CRNA School Application Guide: NursingCAS, ICU Hours & Common Errors

Most CRNA programs use either their own application portals or NursingCAS, the centralized application service for graduate nursing programs. Getting the mechanics right matters as much as the content — errors cause delays that cost you interview slots.

What Is NursingCAS?

NursingCAS (nursingcas.org) is operated by Liaison International and functions as a single application hub for participating graduate nursing programs, including many CRNA, CNM, and NP programs. You complete your application once and designate which programs receive it. Each program may have supplemental questions or requirements on top of the NursingCAS core application.

Some large or standalone CRNA programs (particularly those operated directly by hospitals or the military) use their own portals entirely. Check the AANA program directory and each school's admissions page directly.

Setting Up Your Application

Create your NursingCAS account early — before the application window opens if possible. Complete your profile information first: personal details, citizenship, demographics. These do not change and finishing them removes mental overhead when you are working on more substantive sections.

Your RN license information must be entered exactly as it appears on your state board record. Any discrepancy flags your application for manual review and delays processing.

How to List ICU Experience Hours

The healthcare experience section is where most ICU nurses make avoidable errors. Follow these rules:

• List each ICU position separately, even if at the same hospital (float pool ICU vs. dedicated CVICU = two entries)
• Calculate hours conservatively and accurately. Full-time 36 hours/week x 52 weeks = 1,872 hours/year. Do not round up.
• Use the exact job title on your pay stub or offer letter, not a self-assigned title
• In the description field, describe patient population, acuity, equipment, and procedures: "Adult MICU, mechanically ventilated patients, vasoactive drip management, arterial line and central line care, CRRT"
• List ONLY direct patient care hours. Charge nurse admin time, break time, and education time do not count

Transcripts and the Verification Process

All official transcripts must be sent directly from your institution to NursingCAS — not from you. Order them as soon as you start your application. Processing takes 2 to 4 weeks after receipt. Applications cannot be verified until all transcripts arrive.

NursingCAS recalculates your GPA using their own rubric, which includes all attempted courses at all institutions. If you attended multiple schools, order transcripts from each. Many applicants are surprised to find courses from community colleges they attended years ago appear in the GPA calculation.

Letters of Recommendation

NursingCAS sends automated emails to your recommenders when you add them to your application. Do not add recommenders until you have confirmed they are willing and have the specific deadlines. The system tracks whether letters have been submitted — check it regularly in the weeks before your deadline and follow up with writers who have not submitted.

Common Errors That Delay Applications

The most common fixable problems are: missing transcripts from institutions applicants forgot they attended, incorrect license numbers, ICU hours that do not match what a supervisor confirms, and personal statements that exceed the word limit (the system cuts off text silently). Before submitting, print a PDF preview of your application and review every field.
